Refund & Cancellation  Policy

Elite Expeditions acts as an intermediary between our clients and external providers (third parties) such as airlines, hotels, tour operators, and transportation companies. Therefore, all requests for changes, cancellations, or refunds are subject to the policies and conditions of those providers.

Processing of Refunds

  • Once a cancellation or refund request is received, Elite Expeditions will process the request directly with the corresponding provider.

  • The average processing time by third parties may vary between 10 and 45 business days, depending on the provider.

  • Elite Expeditions cannot guarantee the approval of refunds, as these depend solely on the provider’s rules (e.g., non-refundable airline tickets, promotional fares, non-cancelable hotel reservations, etc.).

 

Billing for Management Services

  • All time invested by Elite Expeditions in managing changes, cancellations, or refund requests will be billed to the client at our standard hourly service rate.

  • Billing applies regardless of the final outcome (whether the refund is approved or denied).

  • The minimum billable time per request is 30 minutes, recorded in increments of 30 additional minutes as needed.

 

Client Agreements

  • In cases where specific contracts or agreements exist (e.g., packages, corporate contracts, artist or group itineraries), those agreements will prevail and apply as stipulated.

  • Clients will receive a detailed breakdown of the management performed, including time, communications, and applicable charges.

Non-Refundable Cases

  • Airline tickets issued under “non-refundable” fares cannot be refunded. In such cases, Elite Expeditions may assist the client in managing future travel credits or date changes, always subject to provider fees and policies.

  • Hotels, transportation, and other services booked under non-refundable rates are not eligible for refunds, although flexibility will be requested from the provider whenever possible.

 

Transparency and Communication

  • Elite Expeditions will keep the client informed throughout the entire process, providing updates on waiting times, provider responses, and applicable management fees.

  • Clients will always be notified of the estimated service costs before Elite Expeditions proceeds with refund management.
